An open client ledger on warm paper, dappled with soft leaf shadow

Back office admin for Canadian accounting firms

Stretched for capacity? We take the admin off your desk.

We take on the admin layer of the firm — document chasing, client follow-up, receivables — in your firm's name, with your approval. You keep the accounting, the judgment, and the CRA.

Contact us
  • Start with a one-month Document-Chase Pilot — $1,000.
  • No commitment — month to month, two weeks' notice to cancel.
  • We run the routine work and bring you anything that needs your judgment, the way an experienced admin would.

The service

What we do.

We are the back office for small and mid-size Canadian firms where the partners still carry the admin. We reach out in your firm's voice, using your approved templates — we never present as your accountants, we never give advice, and the client relationship stays entirely yours. Two packages, one rule: you decide how far we go.

Package one

Entry

The day-to-day admin that eats your week.

  • Phone answering during business hours, in your firm's name — messages and bookings routed your way
  • Document chasing & collection every client, every missing item — slips and statements gathered into one inventory per client
  • Calendar management scheduling and booking, by your rules
  • Invoices & billing prepared and sent in your QuickBooks, on your rules
  • Accounts receivable polite follow-up on unpaid invoices, from your mailbox
  • Status queries answered same day: arrived, filed, owed

Package two

Plus

Everything in Entry, plus the front door your clients walk through.

Adds

  • Client portal in your name: folders, uploads, e-signature, request lists
  • Proposals & client engagements quotes and engagement letters from a branded template, ready the same day
  • Client onboarding welcome checklist, CRA authorization forms, and the first document chase
  • Automated client communications reminders your clients act on — year-end, slips, instalments, HST — in your voice, with your approval

Who does the work

One lead contact who knows your file, backed by both founders. You always know who is doing the work, and so do your clients.

Your admin

Already have one? We take the chasing and the overflow. They keep the desk, and nothing changes about who your clients call.

Your data

We work inside your systems, under accounts you create and control. Client files are never copied out to ours, and access ends the moment you say so — all of it under NDA and Canadian privacy law.

Liability

NDA signed and cyber and errors-and-omissions coverage in place before we touch a single client file. Your professional insurance stays exactly as it is.

How it works

You do the accounting. We add the lift.

Map

A 20-minute call maps your outstanding client work and picks the first task we take on. NDA first, then access — nothing moves before both.

Lift

Week one is the Document-Chase Pilot: the backlog goes back out under your firm's name, item by item, until each one lands — details below.

Run

After the pilot, the recurring work in your package moves to us. We run the routine, you get what actually needs your judgment, and the accounting never leaves your firm.

No new software and nothing to install. We work in the systems your firm already runs, under access you grant, control, and can revoke at any time.

Start with the pilot

The Document-Chase Pilot.

One month. We chase every outstanding item across your whole client list, from your inbox, in your firm's name, until each one has a result: received and logged, promised with a date, or escalated to you with what we tried. $1,000, paid up front.

Treat it as a trial. The pilot starts the week your NDA is signed, any month of the year, and commits you to nothing beyond it — carry on with a package, or walk away at the end of the month. Book before February and you are set up and running well before the T1 rush.

A short call confirms fit and sets your pilot start date.

Pricing

What hiring costs. What we cost.

An admin job posting says $50,000 to $55,000. The hire costs $65,000 to $75,000 once CPP, EI, benefits, recruiting, software, and a desk land, and does not reach full speed for three to four months.

Waiting costs more. Every week the work sits there, a partner spends $200 to $300 an hour doing $30 an hour work: chasing a T4, resending a request, asking a client to pay.

Hiring

$65,000 to $75,000/yr

Full speed in three to four months

LightFoil

$12,000 to $36,000/yr

Working your files in week one

Priced by client count, not by the hour. A typical two to four partner firm lands between $1,000 and $3,000 a month — your exact number on the first call. No recruiting, no ramp, no benefits, and no one to replace when they leave. Every package is month to month — cancel with two weeks notice.

Who's behind this

Orr Barkat Yahav Shirazi

Orr Barkat and Yahav Shirazi. Neither of us is an accountant — that is the point. You keep the accounting; we run the operation behind it. Orr spent seven years at Google and founded Fieldspan. Yahav has spent fifteen years running operations in aviation, technology, and real estate — industries where a missed document does not slip, it grounds the plane. LightFoil is deliberately small: a few Ontario firms at a time, with a founder on every file. Orr on LinkedIn Yahav on LinkedIn office@lightfoil.ca

How it starts

A conversation, not a pitch.

Twenty minutes. You tell us what is not getting chased. You leave with a yes or no on fit, your monthly number, and a start date for the Document-Chase Pilot.

You will hear back from us personally with times. After the call, you get your start date and the NDA to sign before we see a single file.

Tell us a little about your firm and the work that is not getting done. We read every note personally and always keep it confidential.
